Speed to Lead in Dentistry: Why Minutes Matter

September 26, 2026

You pay for leads, then inadvertently let them go cold. Here is why instant text follow-up books more patients than a callback ever will, and how Sally does it.

‍Why some practice owners think marketing doesn’t work

There is an uncomfortable part of running ads for a dental practice. You spend money to make the phone ring or for the form to be filled out… And then the lead sits unattended. Someone might call them back this afternoon or tomorrow, but plenty never get called back at all. By the time anyone does, the patient has filled out forms at three other offices and booked with whoever got back to them first.

Speed to lead is the whole game, and it's rare to find a healthcare clinic that manages it consistently.

The first few minutes decide it

The research on this is old and it has never changed. The odds of actually reaching a new patient lead, especially those generated on social media, fall off a cliff after the first few minutes. Wait 24 hours and you are chasing a stranger, leaving voicemails that nobody returns. It's not that the lead was bad or that marketing doesn’t work, it's a timing issue.

Even if practices know this, they still can’t fix it, because the fix requires someone to respond the instant a lead comes in, whether at 7pm, or on a day the office isn’t open. Unless you have a dedicated sales team, it's not practical to think a front desk can do that. They’re already helping the patient standing in front of them and managing paperwork. The person they haven’t met yet doesn’t register.

Why text beats the callback

Here is something I learned in my own practices.

We book more new patients by text than we do by phone.

Ten years ago I would tell my team to stop texting patients and start calling them. I actually thought it was lazy and unprofessional to text. Even if I was right then (and I’m not sure I was), it is certainly not the case now. People screen inbound calls from numbers they don’t recognize, but they read their text messages. A call demands they stop what they are doing and take a risk of wasting their time or dealing with spam. A text message lets them read and respond on their terms and timeline.

This is why we built  a text messaging engine inside Sally. Inbound voice, outbound text. Sally answers the phone for those who are ready to go today (they called after all), and she works the leads by text that were never going to pick up the phone because they’re higher up the funnel.

What speed to lead looks like with Sally

When a lead comes in from an ad, from your website form, or even from a CRM like Go High Level, Sally engages them in that moment of intent. She opens the conversation by text, answers their questions, and moves them toward a booked appointment while they are still interested. You customize the messages and set the cadence on our dashboard… And then you get to do the fun part: you sit back with your popcorn and watch Sally book new patients from your ads, by text, in real time.

The math no one can escape

Every lead you generate comes with a cost; you paid the ad platform to show your ad to the people most likely to click. When that lead goes cold because nobody followed up fast enough, Meta got paid and you got nothing.

Speed to lead is the difference between marketing that works and marketing that leaks. The offices that respond first win the patient.

If you’re paying to increase your visibility online, the returns come when a customer (our prospective patient) is contacted quickly. Sally captures that interest, by voice and by text, the moment the opportunity arrives and intent is highest.
